In the context of projects where the introduction of ProCall Enterprise is also discussed with the works council, questions sometimes arise regarding the new solution to be introduced. Particularly on the topics of journal, presence management and sharing content (file transfer), reservations are sometimes expressed which cannot be adequately addressed due to a lack of information. In order to dispel concerns and inform on the actual facts, a letter was written that can be adapted as required and made available to partners and responsible customers. Access control

Administration, administrator console

Access to the administration console is restricted by the Microsoft Windows rights system and additionally protected by a special administrator login. Access to the information in the journal databases is additionally restricted via the Microsoft Windows rights system or protected with a special administrator login.

Journal

Similar to a groupware system, e.g. Microsoft Exchange, the data in the journal databases can only be viewed by the administrator. The access for the administrator is necessary for problem analysis and statistical evaluation. The logging of data for private calls is done according to rules that can be configured.

The user can mark calls as private. Lines can generally be marked as private.

The automatic deletion of chat messages and journal entries after a certain time interval can be defined in the UCServer administration. 

Share content – file transfer 

In the storage location, the files are stored locally for file transfer. The files are not readable and thus protected against unwanted access

Lines

Special telephone lines, e.g. telephones of the works council office can generally be excluded from journalization.

Presence

Presence states or a change history of presence states are not logged. A possibility for statistical evaluation of presence states is not provided. The exchange of presence-relevant information can be configured in a differentiated way in order to implement individual company agreements.

The establishment of the lowest common denominator on the topic of presence within a company or institution can take place at the levels of global, group level and user level. The system of rights is additive, i.e. if a right is acquired at one level, it cannot be removed at another.

Sometimes it is desirable that there is no display of the change of the presence status (=> two-part icon – inactive) due to "idle".

There is a possibility to configure or deactivate the presence status display centrally/server-sided due to so-called "idle" states. You will find the configuration in the ProCall Enterprise UCServer administration in the settings in the User Management Profiles section.

Hands-free mode feature

If the CSTA interface of a telephone system provides the function "switch to hands-free mode", this feature can be switched off via a compatible estos ECSTA middleware driver. The estos ECSTA middleware drivers do not support "switch on" functions of telephone systems in general.

Right to information

What information a user is allowed to see from other users is controlled by the authorization management. Among other things, each user can define which other users may obtain information about him or her, or which users may not.

Global rights

If global rights permission is granted, it applies to all users of the system. These rights are configured exclusively by the administrator. 

Group rights

If group rights permission is granted, it applies to all users who are members of this group. These rights are configured exclusively by the administrator. 

User permissions

Each user can assign individual rights to other users. These rights can also be viewed and configured by the administrator.

The other user may see the presence (present, absent...).

Set presence

The other user may change the presence. This right should only be set in case of special positions of trust.

View private appointments

The other user is allowed to see the appointments marked as private from the calendar.
This right should only be set in case of special positions of trust.

View public appointments

The other user may see public appointments from the calendar.

View outgoing phone numbers
